Responsibilities
The Project Coordinator is responsible for the coordination of real estate projects, including tenant improvements of our retail stores, design, construction, permitting, procurement, or other applicable project work. This role will provide project management support to the Director of Real Estate, supporting real estate expansion. Key responsibilities include:
 
  • Track project design, construction, permitting progress. Assists in the resolution of issues raised by internal and external partners during the design and construction period. Coordinate with external designers, consultants, engineers, contractors, vendors, landlords, cities, and internal operating teams to ensure new store delivery on schedule.
  • Participate in design review to ensure store design, signage, equipment meets requirements by internal teams, landlords and cities. Communicates and distributes project related information to external and internal partners.
  • Visit new store sites and assist in monitoring construction progress. Support new site preparation and store launching. Assists in project close-out procedures. Attend weekly Project Management meetings and prepare meeting minutes.
  • Assist in RFP, RFI, and prepare bidding documents. Collects vendor quotes. Coordinate desginers and vendors bidding, qualification, clarification, kick off meetings. Assist in contract review. Support vendor sourcing and evaluation.
  • Assist in the tracking of budget, submittals, change orders, permits, schedules. Monitor contract status, track contract balance. Maintain and update contract and payment tracking log. Process payment applications and ensure invoices are processed on time.
  • Process and maintain project related documentation, such as agreements, design / permitting documents, change orders, invoices, waivers, vendor lists, etc. Assist with collecting and providing lease required documents. Track lease commencement and renew dates. Work with internal teams and general contractors to collect materials for Tenant Improvement Allowance collection.
  • Support in property management and asset management. Coordinate with landlords / mall managers, equipment consolidator, and internal operating team.
  • Assist in streamlining new store delivery processes, such as developing store design standards, equipment purchase templates, RFP templates, etc.
  • Support new site sourcing and research, collecting site information. Participate in building evaluations and due diligence reviews. Research on local codes, zoning requirements.
  • Perform related assignments, as required, in the daily operation of the real estate team.
 
Requirements
  • Bachelor's degree in Architecture, Interior Design, Engineering, Construction Management, Business Administration or related field preferred.
  • Minimum one year of related experience preferred.
  • Able to read architectural drawings and specs, understand floor plan, elevation, sections, MEP drawings.
  • Highly responsive to requests by the team. Self-motivated with strong organizational skills and ability to multitask in a fast-paced environment with high attention to detail.
  • Strong oral and written communication skills.
  • Able to develop client relations, client management and consultation skills.
  • Demonstrates integrity and ethical behavior
  • Strong software competency: Microsoft Office Suite, Google spreadsheet. Preferred skills in AutoCAD, Sketchup, MS Project, Lark.
  • Preferred experience in food and beverage retail store operation, retail interior design, store build out, building / health permit application, retail leasing.
